Introduction

The Guardian of Gardens (“we,” “our,” or “us”) operates a landscape healthcare service in Contra Costa County, California. This Privacy Policy explains how we collect, use, and protect information when you visit our website, contact us by phone, or use our services.

We believe in digital privacy and data minimalism. Our website is designed to collect only the information you voluntarily provide, and we use privacy-respecting alternatives to common tracking technologies wherever possible. We do not display advertising on our website, and we do not sell or share your personal information with third parties for marketing or any other purpose.

Information We Collect

Information You Provide Directly

When you fill out a contact form, service request form, or any other web form on our website, we may collect the following:

  • Your name

  • Your phone number and/or email address

  • The address of the property you would like us to service

  • Any message, note, or description you include in the form

This is the only personal information we intentionally collect through our website. We collect it for one purpose: so we can communicate with you and know which property we are servicing.

Information from Phone Interactions

Our business phone system is operated through VoIP Studio, which provides call handling, voicemail, and telephone services. VoIP Studio offers call recording, voicemail transcription, and AI-powered call summary features that we may use to help us manage communications efficiently and ensure we accurately capture your service requests. If a call is recorded or a voicemail is transcribed, that data is processed by VoIP Studio on our behalf. We use this information solely to provide better service to you and to keep accurate records of your requests.

Information Collected Automatically

We use Plausible Analytics, a privacy-focused, cookieless analytics service, to understand general trends in how visitors use our website (such as which pages are visited most). Plausible does not use cookies, does not collect personal data, does not track individual visitors across sessions, and is fully compliant with GDPR, CCPA, and PECR regulations. No personally identifiable information is gathered through our analytics.

We use Cloudflare Turnstile to protect our web forms from spam and automated abuse. Turnstile may set a small cookie (cf_clearance) and process limited browser signals to verify that a visitor is human. It does not track you across websites and is designed as a privacy-preserving alternative to traditional CAPTCHA services. Cloudflare’s processing of this data is governed by Cloudflare’s privacy policy.

Information We Do Not Collect

We do not use Google Analytics, Google reCAPTCHA, Facebook Pixel, or any similar third-party tracking or advertising tools. Our website does not serve advertisements and does not contain third-party advertising scripts or tracking pixels. We do not use unnecessary cookies.

How We Use Your Information

We use the information you provide exclusively for the following purposes:

  • To respond to your inquiries and communicate with you about our services

  • To identify the property or location where you are requesting service

  • To schedule, perform, and manage landscape healthcare services

  • To process payments for services rendered (via Stripe, described below)

  • To maintain records of our service history with you

  • To manage phone communications efficiently through voicemail transcription and call summaries

We do not use your information for marketing to third parties, behavioral advertising, data profiling, or any purpose unrelated to providing our landscape healthcare services to you.

Third-Party Service Providers

We work with a limited number of third-party service providers to operate our website and business. These providers process data on our behalf and are contractually obligated to protect your information. We have chosen these providers with privacy in mind.

Odoo (Website and Business Platform)

Our website is built and hosted using Odoo Enterprise Edition, which also serves as our customer relationship management and business operations platform. When you submit a form on our website, the information you enter is stored in our Odoo database. Odoo acts as a data processor on our behalf. Odoo’s infrastructure may use standard web server logs (such as IP addresses and request timestamps) as part of normal website hosting operations. For more information, you can review Odoo’s privacy policy at www.odoo.com/privacy.

Stripe (Payment Processing)

When you make a payment for our services, the transaction is processed by Stripe, Inc. Stripe collects and processes your payment card information directly. We do not have access to your full credit card number, which is handled entirely by Stripe’s secure, PCI-compliant systems. Stripe may collect additional information as required to process payments, prevent fraud, and comply with legal obligations. Stripe’s collection and use of your payment data is governed by Stripe’s privacy policy, available at stripe.com/privacy.

Cloudflare (Turnstile Bot Protection)

As described above, we use Cloudflare Turnstile to protect our forms from automated abuse. Cloudflare may process limited technical data (such as browser characteristics) to verify that form submissions come from real visitors. Cloudflare’s privacy policy is available at www.cloudflare.com/privacypolicy.

Plausible Analytics

Plausible is a lightweight, open-source, privacy-respecting analytics tool. It collects no personal data and uses no cookies. All data is aggregated and anonymous. Plausible’s data practices are described at plausible.io/data-policy.

Mapbox (Mapping)

Our website may use Mapbox to display maps. When a map loads, Mapbox may receive your IP address and basic usage data (such as map tile requests) as part of rendering the map. Mapbox’s privacy policy is available at www.mapbox.com/legal/privacy.

VoIP Studio (Business Phone System)

Our business telephone service is provided by VoIP Studio. When you call our business phone number, VoIP Studio handles the call routing, voicemail, and related telephony functions. We may use VoIP Studio’s transcription and AI-powered call summary features to help us accurately capture and manage your service requests. VoIP Studio processes this data on our behalf as a service provider. For more information, you can review VoIP Studio’s privacy policy at voipstudio.com.

We Do Not Sell or Share Your Data

We do not sell your personal information. We do not share your personal information with third parties for their own marketing, advertising, or any purpose unrelated to providing our services to you. Period.

The only parties who may access your data are the service providers listed above, and only to the extent necessary to perform their specific function (hosting our website, processing a payment, protecting our forms from spam, etc.). We do not provide, sell, rent, or trade your information to data brokers, advertisers, or any other third party.

We may disclose information if required to do so by law, such as in response to a valid subpoena, court order, or government request.

Cookies and Tracking Technologies

Our website uses minimal cookies. We do not use advertising cookies, social media tracking cookies, or third-party analytics cookies.

The cookies that may be present on our site are limited to those that are strictly necessary for the website to function, including Odoo session cookies (required for the website to operate and for forms to function properly) and Cloudflare Turnstile cookies (a small cookie used for bot protection when you submit a form). We do not use cookies to track your behavior across other websites.

Data Security

We take reasonable measures to protect your information from unauthorized access, alteration, or destruction. Our website uses HTTPS encryption for all data transmitted between your browser and our servers. Payment processing is handled by Stripe’s PCI-compliant infrastructure. Access to customer information within our business systems is limited to authorized personnel (the business owner/operator).

While we strive to use commercially reasonable means to protect your personal information, no method of transmission over the Internet or method of electronic storage is completely secure, and we cannot guarantee absolute security.

Data Retention

We retain your personal information for as long as necessary to provide our services to you and to comply with our legal and business obligations. If you request that we delete your information, we will make reasonable efforts to do so, subject to any legal obligations that may require us to retain certain records (such as financial transaction records).

Your California Privacy Rights

If you are a California resident, you have certain rights under the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA), including the right to know what personal information we collect about you and how it is used, the right to request deletion of your personal information, the right to opt out of the sale of your personal information (we do not sell your information, so there is nothing to opt out of), and the right to non-discrimination for exercising your privacy rights.

To exercise any of these rights, please contact us using the information in the Contact section below. We will respond to verifiable requests within 45 days as required by law.

Children’s Privacy

Our website and services are not directed to children under the age of 16. We do not knowingly collect personal information from children. If we learn that we have inadvertently collected information from a child under 16, we will take steps to delete that information promptly.

Changes to This Privacy Policy

We may update this Privacy Policy from time to time to reflect changes in our practices or in applicable law. When we make changes, we will update the effective date at the top of this page. We encourage you to review this policy periodically.
